Meeting Policies for University Departments and Recognized Student Organizations during COVID-19 Phase Three

The following policies apply to all in-person Recognized Student Organization (RSO) and university department meetings. *Please note academic affairs departments may have additional guidelines, please contact Associate Provost Ana López for meeting approval.  

These policies are based upon guidelines mandated by the City of New Orleans and the State of Louisiana. Should the city or state guidelines change, the University will review these policies to determine whether a modification is appropriate.

Please note: a meeting is defined as an on-campus closed gathering for members of a group or department only.

  • Meetings must take place in a space that allows for 6ft social distancing.  Individuals must be able to cue in line, sit, and consistently maintain 6ft social distance.
  • Face coverings are required.
  • No loitering is allowed while attendees are entering, exiting, or moving about.
  • No self-serve food or buffets. All food must be individually pre-packaged before the event begins. If an event is held on campus, it must comply with university catering guidelines.
  • Meeting attendees must be Tulane affiliates (students, faculty, staff) – exceptions to include an outside vendor or speaker as part of a meeting must be approved through the university Visitor Policy Fall 2020.
  • Live entertainment is now allowed, but requires a special event permit through the City of New Orleans.  If your RSO or department is interested in live entertainment, please contact the following staff - Greg Feiling for RSO meetings and events or Jenn Thelen for department meetings and events.
  • Attendance must be tracked, recorded, and maintained for at least 21 days following an event. We recommend using WaveSync for this process.

In addition to the above requirements for all meetings, the following applies to indoor meetings:

  • No more than 150 individuals may be in attendance.
  • One safety control officer – who must be approved through the safety control officer online process here – in attendance with the express understanding they are there to help enforce the Tulane COVID policy.

  • No more than 250 individuals may be in attendance.
  • One safety control officer – who must be approved through the safety control officer online process here – in attendance with the express understanding they are there to help enforce the Tulane COVID policy.
Event Policies for University Departments and Recognized Student Organizations during COVID-19 Phase Three

Please note: an event is defined as a gathering that meets any of the following criteria: a) is open to people outside of the department or RSO, b) includes alcohol, c) is held off-campus, or d) is sponsored by more than one RSO or department.

  • Event must be controlled by invitations, ticket sales, or reservations.
  • One safety control officer – who must be approved through the safety control officer online process here – in attendance with the express understanding they are there to help enforce the Tulane COVID policy.

In addition to the above requirements for all events, the following applies to outdoor events held on or off-campus:

  • No more than 250 individuals may be in attendance.
  • Events must be registered at least 3 weeks in advance in WaveSync and adhere to all university event policies.
  • Event must be controlled by invitations, ticket sales, or reservations.
  • Event space must be controlled by stanchions, temporary fencing, etc. with designated entrance and exit areas.
  • Assigned seating is required if there is a stage.
  • One safety control officer – who must be approved through the safety control officer online process here – in attendance with the express understanding they are there to help enforce the Tulane COVID policy.
Sporting, Vocal, and Day Trip Policies for Recognized Student Organizations and Student Affairs Departments during COVID-19 Phase Three

The following policies apply to all in-person, on or off-campus Recognized Student Organizations (RSO) and/or Division of Student Affairs sporting, vocal, and/or day trip events. *Please note academic affairs departments have additional guidelines, please contact Associate Provost Ana López for event approval.  

These policies are based upon guidelines mandated by the City of New Orleans and the State of Louisiana. Should the city or state guidelines change, the University will review these policies to determine whether a modification is appropriate.

The following applies to club sport/physical activities:

  • Spectator seating shall maintain 6ft distance between individuals
  • No physical contact between coaches and players
  • Coaches and players must wear face coverings at all times
  • Practice rosters must be set in advance and attendance must be tracked

In addition to the above requirements, the following applies to practices held on or off-campus:

Indoor Sports

  • Competitive play will be allowed (i.e. 5v5 in basketball)
  • Martial Arts specific: NO sparring/grappling allowed at this time
  • Maximum capacity for a basketball court is 10 (or 5 per half-court)
  • Maximum capacity for other indoor physical activity must allow for 6ft of space per person

Outdoor Sports

  • A Tulane ID must be presented to access Brown Field
  • Competitive play will be allowed
    • Rugby specific: NO tackling or scrums allowed at this time
  • Maximum Capacity of 25 per half field or 50 per whole field
  • Doubles on tennis courts allowed with max capacity of 4 per court

The following applies to vocal performance activities:

  • Rehearsals and performances must follow the meeting and event guidelines listed above.
  • Performers and conductors/directors shall maintain a minimum of 13ft distance between one another at all times.

The following applies to day trips:

  • Only day trips to local destinations (defined as within 40 miles of the Uptown Campus) are permitted for student organizations and student affairs’ departmental programming. Appeals for day trips over 40 miles must be submitted to the Vice President for Student Affairs.
  • Travel that includes an overnight stay is prohibited.
