Student Organization Recognition Process

Please note: We are currently reviewing organization applications that were submitted in September and October prior to our organization recognition pause.  We anticipate opening the application process for new submissions in January 2026.

Starting a new student organization at Tulane begins with submitting a recognition application through WaveSync. Review the steps below to understand what’s required for recognition.

Application Submission

Student groups seeking official recognition can submit their application through WaveSync. Your application must include the following required materials:

  • Recognition Application Form
  • Constitution and/or Bylaws
  • Advisor Role & Responsibilities Agreement Form (must include a faculty/staff signature)
  • Certificate of Compliance (required for nationally or internationally affiliated organizations)

To access the Recognition Application Form, follow these steps:

  • Log in to WaveSync using your Tulane credentials.
  • From the left-hand menu, select “Orgs.”
  • Click “Register an Organization.”
  • Choose “Register a New Organization.”
  • Select “Recognized Student Organization.”
    • Note: This option will become available when the application process reopens in January.

All applications must represent unique organizations. If your proposed organization duplicates the purpose or function of an existing Recognized Student Organization (RSO), it will not be eligible for recognition.

Administrative Review

Applications are reviewed weekly during the open application period.

Once your materials are submitted, the LBC Assistant Director for Recognized Student Organizations will review your application to confirm it meets all Criteria for Receiving Student Organization Recognition, including:

  • Submission of a completed Register an Organization Form
  • Verification that all members are currently enrolled Tulane University students
  • Confirmation that the required officers (President and Treasurer) are in good standing with the University and eligible to serve
  • A minimum membership of ten (10) currently enrolled Tulane students
  • A current constitution/bylaws that clearly outline your:
    • Purpose
    • Structure
    • Membership requirements
    • Officer eligibility
    • Selection and removal procedures
    • Compliance statements (Tulane non-discrimination policy, Title IX, Title VI)
    • Assurance that membership and participation are not restricted based on any classification protected under University policy or federal/state/local law
  • Confirmation that the organization operates on a non-profit, non-commercial basis
  • Identification of a Tulane faculty/staff advisor with a signed Advisor Role & Responsibilities Agreement
  • Agreement to follow the Tulane University Code of Student Conduct, all University policies, and all applicable laws
  • Submission of a Certificate of Compliance for organizations with national or international affiliations

Office of Equal Opportunity and Resolution Management Review (if applicable)

If you are applying as a nationally or internationally affiliated organization and your Certificate of Compliance indicates a substantiated legal finding related to discrimination, harassment, or retaliation, your materials will be forwarded to the Office of Equal Opportunity and Resolution Management.

Recognition will not proceed until this review is complete.

Recognition Decision & Notification

When the review is complete:

  • Approved organizations will be granted RSO recognition by the LBC, notified in writing, and have their WaveSync page activated to reflect their new status.
  • Applications that do not meet requirements will be denied. The organization will receive written notification explaining the reason for the decision.

Appeals

Organizations may appeal a recognition decision only if new, relevant information becomes available that:

  • Was not reasonably accessible during the initial review, and
  • Could have affected the outcome

To appeal, submit a written request to Heather Seaman, Executive Director for the LBC, Leadership, & Engagement at hseaman@tulane.edu within five (5) business days of receiving the decision. Your appeal must:

  • Clearly describe the new information
  • Explain why it was previously unavailable
  • Include all supporting documentation

The appeal will be reviewed to determine whether the new information merits reconsideration. The appeal decision is final.
