Looking for a great way to promote your event or university initiative? The Lavin-Bernick Center (LBC) offers a variety of spaces to help you share your message with the Tulane community. Whether you want to hang a banner, post a flyer, reserve a digital sign, or even table outside, we've got the tools you need to boost your visibility and engage with students, faculty, and staff.

Looking for a great way to get the word out about your event? The Lavin-Bernick Center (LBC) offers 15 banner spaces across different locations that you can reserve to help promote your event or university initiative. Whether you're showcasing an event or supporting a university program, we’ve got the space for you! 

Banner Guidelines 

  • Availability: Banner spaces are available for reservation by Tulane Recognized Student Organizations (RSOs) and university departments. 
  • Duration: Banner spaces may be reserved for up to 7 consecutive days per month. 
  • One Reservation Per Day: You can reserve only one banner location per day. 
  • Content Guidelines: Banners must promote registered events or university initiatives and should clearly display the name of the sponsoring RSO or department. 
  • LBC's Discretion: The LBC reserves the right to approve, deny, or remove banners at any time based on the content or other guidelines. 

Banner Details by Location 

LBC Indoor (6 spaces) 

  • Location: Banners are displayed along the 2nd-floor railing. 
  • Size: Maximum dimensions are 8 ft wide x 3 ft high. 
  • Drop-off & Installation: Please drop off your banner at the LBC Information Desk either the day before or the day of your reservation for installation. 
  • Removal: Banners must be picked up the day after your reservation ends. Any banners not retrieved within 2 days may be discarded. 

LBC Qatar Balcony (2 spaces) 

  • Size: Banners may measure up to 30 ft wide x 4 ft high. 
  • Material: Banners must be made of vinyl. For durability, we recommend using reinforced stitching and adding wind slits to withstand the weather. 
  • Design: Banners must have reinforced corners with large grommets. 
  • Installation: The sponsoring group is responsible for installing and removing the banner. Zip ties will be needed for installation. On the day of your reservation, come by LBC Suite 218 to access the Qatar Balcony for banner setup. 
  • Removal: Banners must be taken down the day after your reservation ends. Any banners left up for more than 2 business days may be discarded. 

McAlister Way (1 space) 

  • Size: Banners must be 30 ft wide x 4 ft high. 
  • Material: Banners must be made of vinyl with reinforced stitching and wind slits for added durability. 
  • Installation Process: To install your banner, submit an IT request to Facilities Services at least 10 business days in advance. Include the following information: 
  • Reservation number 
  • Date of installation 
  • Date of removal 
  • Title of banner 
  • Location of banner – McAlister 
  • Point of contact name 
  • Point of contact phone number 
  • Account number to charge for installation 
  • Delivery: Banners must be delivered to Facilities Services (Building 85) at least 3 business days before the installation date. Be sure to attach a copy of your reservation with the banner. 
  • Post-Removal: Once removed, Facilities Services will hold your banner for up to 5 days for pick-up. Banners not picked up after 5 days may be discarded. 

Percival Stern Breezeway (6 spaces) 

  • Location: Banners are displayed next to PJs, on the academic quad side. The spaces are labeled 1–6. 
  • Size: 
  • Spaces 1, 3, 5: 3 ft wide x 3 ft high 
  • Spaces 2, 4, 6: 7 ft wide x 3 ft high 
  • Material: Banners must be made of vinyl with reinforced stitching and wind slits. 
  • Installation:  
  • Banner spaces 1 & 2: Banners may be installed and removed by the sponsoring group. Zip ties will be needed for installation. 
  • Banner spaces 3-6: Banners must be installed by Facilities Services.   
  • To install your banner, submit an IT request to Facilities Services at least 10 business days in advance. Include the following information:

Posting on the LBC’s bulletin boards is a great way to share information about your event! Here’s everything you need to know to make the process smooth and easy! 

Bulletin Board Guidelines

  • All bulletin board postings materials must be approved by Campus Services before being posted. 
  • Campus Services Approval Process 
  • Timeline: Please allow a minimum of 3 days for the approval process. 
  • Digital Approvals: You can receive approval before printing your materials by emailing a PDF copy of your poster or flyer to campusservices@tulane.edu. Once approved, a stamp of approval will be placed on the document and emailed back to you for printing and posting. 
  • Printed Approvals: If your materials are already printed, simply bring them to LBC Suite 107 (Campus Services office) for an approval stamp. 
  • Sponsor Information: Your materials must clearly display the name of the sponsoring group or organization, along with contact information (phone number, email, website, or postal address). This should be visible on the front of all materials (posters, flyers, banners, etc.). 
  • Size & Posting Limits: Visit Campus Services website for details on bulletin board size, posting limits, and more. 
  • LBC Bulletin Board Locations: The LBC has two bulletin boards where you can post your approved materials: 
  • Behind the Barnes & Noble Bookstore near the restrooms. 
  • Inside the Rathskeller Lounge (accessible when the lounge is open). 
  • Drop-Off, Installation, & Removal: Please bring your posting to LBC Suite 218. Our staff will place your inserts into the holders and recycle them after the event or initiative ends. 
  • LBC's Discretion: The LBC reserves the right to remove bulletin board postings at any time. 

 

Looking for a way to promote your event, program, or service? The Lavin-Bernick Center (LBC) offers a variety of digital media options, including a large video wall on the first floor and TV monitors throughout the building. It’s a great way to catch people’s attention and share important info with the Tulane community! 

Digital Sign Guidelines

  • Availability: Digital signs are available to be used by Tulane Recognized Student Organizations (RSOs) and university departments. 
  • Submission Process: To get your materials on the screens, here’s what you need to do: 
  • Include the following information in your email: 
  • Your department/group/business name 
  • A contact person 
  • Desired dates for the display (maximum of two weeks) 
  • Submit your content at least one full week before your preferred posting date. 
  • Duration: Your content will remain in the digital signage rotation for up to two weeks. The rotation includes still images displayed for 40 seconds and videos for up to 60 seconds. Please note, we do not accept requests for exclusive screen use—your content will be part of the general rotation. 
  • Content Guidelines: Table tents must promote registered events or university initiatives and should clearly display the name of the sponsoring RSO or department. 
  • Formatting Your Content: To ensure your content looks great on the screens, follow these formatting guidelines: 
  • For images: 
  • Size: 1920px wide x 1080px tall 
  • Acceptable formats: JPG, GIF, TIF, WMF, BMP, PNG 
  • For videos: 
  • Maximum length: 60 seconds 
  • Acceptable formats: AVI, M4V, MPEG, MP4, MOV, SWF, WMV 
  • No sound is available, so be sure your video content is visually engaging! 
  • LBC's Discretion: The LBC reserves the right to approve, deny, or remove digital sign content at any time. 

Table tents are an excellent way to promote your event to the Tulane community! With 80 acrylic holders available, it’s an easy and effective way to share your message! 

Table Tent Guidelines 

  • Availability: Table tent spaces are available for reservation by Tulane Recognized Student Organizations (RSOs) and university departments. 
  • Duration: Table tents can be reserved for up to 7 days per month. 
  • One Reservation Per Day: Only one side of a table tent holder may be reserved per sponsor, per day. 
  • Content Guidelines: Table tents must promote registered events or university initiatives and should clearly display the name of the sponsoring RSO or department. 
  • Drop-Off, Installation, & Removal: Please bring your 80-table tent inserts to LBC Suite 218 either the day before or the day of your reservation. Our staff will place your inserts into the holders and recycle them after the reservation ends. 
  • LBC's Discretion: The LBC reserves the right to approve, deny, or remove table tents at any time. 

We’re excited to offer tabling opportunities on campus for Recognized Student Organizations (RSOs) and University Departments! This is a great way to share information about membership recruitment, promote your programs or events, fundraise, give away fun goodies, or sell items related to your sponsored events. 

 

Please note that tabling is reserved for Tulane organizations and departments only, so non-Tulane groups, companies, and vendors, as well as academic class projects, are not able to book or have a presence at tabling spaces. If your group is planning to fundraise, sell items, or distribute food, be sure to follow all relevant university policies.  You can find more details in the RSO Handbook. 

 

Remember, tabling is a wonderful privilege for RSOs and University Departments, and it’s important to follow our tabling guidelines to keep the experience positive for everyone. We can’t wait to see what you share on campus! 

 

Tabling Locations 

 

The Lavin-Bernick Center manages 16 reservable indoor and outdoor booth/table spaces in the following locations: 

  • LBC Indoor 
  • Berger Family Lawn Patio 
  • McAlister Way 
  • Percival Stern Breezeway 

 

Tabling Guidelines 

  • Each RSO or University department can secure one tabling location per day. To reserve your spot, just send in your request at least two business days in advance through EMS. You can find easy instructions on how to do this in the EMS How-To Guide. 
  • Tabling is available Monday to Friday from 9 a.m. to 5 p.m. during the fall and spring semesters, excluding study period/finals, certain events such as Book Fest, university breaks, and in case of inclement weather or campus closures. If it rains, we have rain locations available on a first-come, first-served basis, so be sure to plan ahead! 
  • Tabling may be used to promote registered events or university initiatives, recruit members, fundraise, host giveaways, or sales for registered events. 
  • Tabling materials are limited to your tabling space only. 
  • Please note that tabling spaces can’t be reserved for activities that require campus services like water, electricity, or custodial support; campus demonstrations; or events including animals. These types of events must be registered through the student organization event registration process or campus demonstration registration process. 

 

Tabling Check-In & Pick-Up 

 

Tabling Inside the LBC 

  • Check-In: When you arrive, please check in at the Student Organization Center (SOC) for your tabling reservation. 
  • No Splash Card Needed: You’ll be using the booths available in the main hallway, so there’s no need to provide a splash card. 
  • Pick Up Your Placard: Be sure to collect your placard, which includes your RSO or Department name and a tabling map. This should be displayed on your table throughout your tabling time. 

 

Tabling Outside (McAlister, Berger Family Lawn Patio, Stern): 

  • Check-In: Similar to indoor tabling, please check in at the SOC for your reservation. 
  • Splash Card Required: You’ll need to leave a valid splash card at the front desk. You can swap out splash cards as needed. Just a reminder, only splash cards are accepted—other forms of ID won’t work. 
  • Check out Table and Chairs: While checking in at the SOC desk, your organization will be able to check out 1 table and 2 chairs for your organization’s time at an outdoor tabling space. 
  • Pick Up Your Placard: Just like inside, collect your placard with your RSO or Department name and tabling map. Display this on your table during your tabling time. 
  • Stay in Your Space: While tabling outside, please remain within your designated space and focus on engaging with those who approach your table. 

 

Window Decal Guidelines 

  • Availability: Window decal spaces are available for reservation by Tulane Recognized Student Organizations (RSOs) and university departments. 
  • Reservation Process: You can reserve a window decal space by contacting the LBC Assistant Director of Events & Reservations, Diana Noveck, at dnoveck@tulane.edu.  Window decal locations include the following: 
  • Pedersen Lobby #1 (along McAlister Way) 
  • Pedersen Lobby #2 (along Pocket Park 
  • Gorson Porch 
  • McAlister Entrance 
  • Duration: Decal spaces may be reserved for up to 14 consecutive days per month and must be removed within 1 business day following the event or initiative completion. 
  • Content Guidelines: Window decals must promote registered events or university initiatives and should clearly display the name of the sponsoring RSO or department. Window decal artwork must be approved by the LBC prior to installation. 
  • Installation & Removal: Window decals must be professionally installed and removed. Installation and removal dates must be included in the reservation. 
  • LBC's Discretion: The LBC reserves the right to approve or deny window decal requests.

How to Submit Your Information 

 

Ready to get your event or announcement featured in the newsletter? Follow these simple steps: 

  1. Complete the Submission Request Form to share your event, resource, or opportunity. 
  1. Select the Monday you'd like your information to appear in the newsletter. 
  1. Multiple Weeks? If you'd like your information posted on more than one Monday, simply submit each request separately, choosing the appropriate date for each submission. 
  1. Accuracy is Key: Be sure to double-check your details for accuracy before submitting, as the form submission is final. 

 

Important Notes 

  • Submission does not guarantee inclusion: Due to the number of requests each week, we can’t always include everything, so please keep that in mind when submitting. 
  • Submit early: To ensure your event or info is included, make sure to send in your request ahead of time!
